1. Purpose

This Risk & Safety Policy explains how M-Town manages safety for participants during school group travel and youth experience programs.

The goal is to ensure a safe, structured, and well-organised experience while clearly defining responsibilities between M-Town, schools, guardians, and participants.


2. Scope

This policy applies to all M-Town programs involving:

  • School groups
  • Youth participants under 18
  • Educational travel experiences
  • Organised group activities

3. General Safety Approach

M-Town designs all programs with safety as a priority.

We aim to:

  • minimise risk in all planned activities
  • use trusted and experienced local partners
  • provide clear instructions to participants
  • ensure structured supervision during scheduled program activities

However, participation always involves a degree of personal responsibility and inherent travel-related risk.


4. Responsibilities

4.1 M-Town Responsibilities

M-Town is responsible for:

  • planning and organising the program itinerary
  • selecting reasonably safe and reliable partners
  • providing safety instructions during activities
  • supervising participants during scheduled program activities
  • responding to incidents within our operational capacity

4.2 School / Group Leader Responsibilities

For school groups, the school or group leader is responsible for:

  • overall supervision of participants outside scheduled activities
  • ensuring participants follow M-Town instructions
  • managing discipline and group behaviour
  • ensuring participants are fit to participate in the program

Schools remain the primary duty holder for minors unless otherwise agreed in writing.


4.3 Participant Responsibilities

Participants must:

  • follow all safety instructions from M-Town staff and partners
  • respect local laws and regulations
  • behave responsibly and consider the safety of others
  • immediately report any unsafe situation

5. Supervision Levels

Unless explicitly stated in the program description:

  • M-Town provides supervision during scheduled activities only
  • Free time is not continuously supervised by M-Town staff
  • Schools or group leaders are responsible for supervision during free time

6. Activity Risk Levels

Some activities may involve moderate physical or environmental risk (e.g. outdoor activities, travel, cultural experiences).

Before participation:

  • participants will be informed of relevant risks
  • safety instructions will be provided
  • participation in certain activities may require consent from school or guardian

M-Town reserves the right to exclude participants from activities if safety requirements are not met.


7. Health & Medical Conditions

Schools/guardians must inform M-Town in advance of any:

  • medical conditions
  • allergies
  • physical limitations
  • mental health considerations relevant to participation

This information is used solely for safety planning.

M-Town does not provide medical treatment but will assist in contacting emergency services if needed.


8. Emergency Procedures

In case of emergency, M-Town will:

  • take immediate reasonable action to ensure participant safety
  • contact emergency services when required
  • inform school representatives or guardians as soon as reasonably possible
  • document the incident internally

9. Third-Party Providers

M-Town works with external providers such as:

  • transport companies
  • accommodation providers
  • activity partners

While we select partners carefully, these providers are independent entities and responsible for their own operations.


10. Incident Limitation

M-Town is not liable for incidents arising from:

  • failure to follow instructions
  • misconduct by participants
  • unforeseeable actions by third-party providers
  • circumstances beyond reasonable control

Nothing in this policy limits liability for gross negligence or intentional misconduct under Swedish law.


11. Risk Acceptance

By participating in a M-Town program, participants (and/or guardians/schools) acknowledge that:

  • travel and group activities involve inherent risks
  • reasonable precautions are taken but risks cannot be eliminated entirely
  • participation is voluntary

12. Policy Priority

In case of conflict between this policy and other documents:

  • Terms & Conditions take precedence
  • followed by Booking & Cancellation Policy
  • then this Risk & Safety Policy
